Important: The availability of some features described in this article depends on your version of Demandbase One.
Context
You can use the following options to manage Demandbase users in bulk:
- Import new users or update existing users from a CSV file. When updating existing users from a CSV file, Demandbase attempts to match existing users based on the Email or External User Id values. Demandbase updates user information for matched users and creates new user profiles for unmatched users.
- Import users from Salesforce (Standard users only), Microsoft Dynamics CRM (Standard users only), or HubSpot CRM. For users imported from your CRM, you can configure if Demandbase sync changes to the users’ name, email address, or department. See Configure User Update Settings.
- Create, read, update, or delete users using our API. For more information, see the Demandbase Admin API documentation.
Tips:
- You can add users individually. See Create and Manage Users.
- You can configure if Demandbase imports users without an existing department assigned in the CSV file or your CRM. See Create and Manage Departments.
- The top right bar chart shows the number of seats available for your company.
Prerequisites/Preparation
You must have Admin privileges or be assigned to a permission set with the required Demandbase settings access.
For CSV imports, the file must contain the following required columns:
- Name
- Email (cannot include spaces or parentheses after the domain)
- External User Id (optional)
- Permission Sets
- Department
- Assigned View
Important: You must use CSV files with unique file names when importing new or updated users.
For CRM imports, set up the required Demandbase integration for Salesforce, Microsoft Dynamics CRM, or HubSpot CRM.
Steps: Import or Update Users from CSV Files

From the left navigation bar, go to
Settings > User Management > Users.
- Click Import Users and select From CSV.
Tip: Click Download .csv template to download a file with the required columns. - In the window that opens, click Browse to select the CSV file, or drag and drop the CSV file, with the users to import.
- (Optional) Toggle on Send Welcome email to each of these users?.
- Click Import.
Important: If you reach the maximum number of allowed users, Demandbase shows an error message. Delete existing users or reach out to your account manager to upgrade your plan.
Steps: Import Users from CRM

From the left navigation bar, go to
Settings > User Management > Users.
- Click Import Users and select the option for your CRM. For example, select From Salesforce to import users from Salesforce.
- In the window that opens, select the users to add and click Next.
Important: Only Standard Salesforce or Dynamics users can be imported from this page. If you don't see users you want to import, check that their user type is set to Standard. - In the window that opens, select the Department, Assigned View, and Permission Sets for the users.
- (Optional) To send welcome email to the users, select Yes.
- Click Import.
Important: If you reach the maximum number of allowed users, Demandbase shows an error message. Delete existing users or reach out to your account manager to upgrade your plan.
Outcome
Added users can now access Demandbase. The areas of Demandbase they can access depends on their assigned permission sets.
