Configure Email Communication Visibility (Email Access Control)

You can manage the visibility of communications history from the Email Access Control settings. This includes tracking emails depending on recipient, visibility of the body of the email, and if emails are auto-locked for specific users.

Prerequisites

You must have Admin privileges or be assigned to a permission set with the required Demandbase settings access.

Steps

  1. From the left navigation bar, go to Settings_N.png Settings > Platform > Email Access Control.
  2. Go to the Communication Visibility tab.
  3. Set a rule for emails that include non-Demandbase users (for example, finance, legal, or external contacts)
    • Continue to sync the email: Emails are synced even if non-Demandase users are included.
    • Do not sync the email: Emails are not synced if non-Demandase users are included.
  4. Toggle the following email visibility options on or off:
    • Enable email body display: Toggle on to show the email body in Communication History.
      Important: The option is off by default. When off, only the subject line and recipients are shown.
    • Auto-lock executive email: Toggle on to lock specific user emails, such as executives. When on, Demandbase automatically suggests people you can add from the drop-down list. You can also enter emails manually.
      Important: When on, only the recipients are shown - the subject line and body are hidden.
    • Auto-lock all user's email: Toggle on to lock all company emails.
      Important: When on, only the recipients are shown - the subject line and body are hidden.
  5. Click Save Changes.Communication Visibility.png

Outcome

Demandbase updates the visibility for emails in the Communication History based on your configuration.
