Record Ingestion Control for HubSpot CRM

Record Ingestion Control for HubSpot CRM allows you to control the HubSpot CRM Accounts you want to sync into Demandbase. By selecting a HubSpot CRM List, you can set up a rule to filter your HubSpot CRM Accounts and only see the records you care about.

Important: 

  • You can only filter by Accounts. All Contacts, Activities, and Deals related to the Accounts are also synced into Demandbase. 
  • You can only create one filter rule.
  • Demandbase only writes back data to the HubSpot CRM Accounts and related contacts that are synced into our platform. See Demandbase Custom Fields in HubSpot CRM for the list of custom fields we write-back to. 
  • When an Account Ingestion Rule for HubSpot CRM is updated, changes are applied during the scheduled weekly refresh.

Benefits of Using Account Ingestion Control for HubSpot CRM

Some benefits of filtering HubSpot CRM Accounts include: 

  • Sync specific Accounts from HubSpot CRM. 
  • Reduce the overall number of Accounts being synced into Demandbase. 
  • Remove duplicate Accounts from Demandbase. 

Filtering Accounts

Account Ingestion Control for HubSpot CRM makes it easier for you to control the type of Accounts you see in Demandbase. 

Here are some examples of how you can filter your Accounts:  

  • Accounts by Type (Prospect, Partner, Customer, Competitor) 
  • Accounts by Market (Enterprise, Mid-Market)
  • Accounts by Industry (Retail, Finance, Software)
  • Accounts by Region (APAC, EU, Americas) 
  • Accounts by Headcount or Revenue Size
  • Accounts by Account Name 
  • Accounts by Owner

Prerequisites for Record Ingestion Control for HubSpot CRM

  • You must have Admin privileges or be assigned to a permission set with the required Demandbase settings access. 
  • Create Segments (lists) in Hubspot CRM. See Hubspot’s article Create Segments.
  • The Accounts must be visible to the Demandbase-HubSpot integration user.

Create an Account Ingestion Filter for New HubSpot CRM Integration 

  1. Complete Step 1: Authenticate, Step 2: Field Selection, and Step 3: Field Mappings in Integrate HubSpot CRM and Demandbase.
  2. In the HubSpot CRM Setup Wizard, go to Step 4: Record Ingestion tab.
  3. (Optional) From the drop-down, select a list from your HubSpot CRM.
    Important: Demandbase syncs only the records in the selected list. If you don’t select a list, Demandbase syncs all HubSpot CRM Account records. 
  4. Click Save.

Create an Account Ingestion Filter for Existing HubSpot CRM Integration

  1. From the left navigation bar, go to Settings_N.png Settings > Integrated Systems > Integrations.
  2. Under CRM, click HubSpot.
  3. In the Filtering Rules section, click Create Filtering Rules.
  4. (Optional) From the drop-down, select a list from your HubSpot CRM.
    Important: Demandbase syncs only the records in the selected list. If you don’t select a list, Demandbase syncs all HubSpot CRM Account records.
  5. Click Confirm.
  6. In the confirmation pop-up window, click Proceed.
    Important: It can take up to 48 hours for the Account ingestion filter to process. Once processed, you can only see the Accounts and related objects that meet the ingestion filter criteria.

Edit an Existing Account Ingestion Filter

  1. From the left navigation bar, go to Settings N.png Settings > Integrated Systems > Integrations.
  2. Click HubSpot.
  3. In the Filtering Rules section, click Edit.
  4. (Optional) From the drop-down, select a list from your HubSpot CRM.
    Important: Demandbase syncs only the records in the selected list. If you don’t select a list, Demandbase syncs all HubSpot CRM Account records.
  5. Click Confirm.
  6. In the confirmation pop-up window, click Proceed.
    Important: It can take up to 48 hours for the Account ingestion filter to process. Once processed, you can only see the Accounts and related objects that meet the ingestion filter criteria. If you decide to add an Account back in at a later time, you can see the Account, all related objects, and historical data.

Delete an Existing Account Ingestion Filter

  1. From the left navigation bar, go to Settings N.png Settings > Integrated Systems > Integrations.
  2. Click HubSpot.
  3. In the Filtering Rules section, click Edit.
  4. Click the trash icon.
  5. In the confirmation pop-up window, click Proceed.
    Important: After you delete the filter, it can take up to one week for HubSpot CRM Accounts, related objects, and historical data that were previously excluded by the filter to appear in Demandbase.
