Understanding User Onboarding Workflow in CRM iFrame

User Onboarding allows you to create and manage provisioning workflows that automatically creates users in Demandbase.

When a user accesses the Demandbase One for Sales (DBS) iFrame in your CRM for the first time, Demandbase can automatically provision a user profile in Demandbase One for Marketing and assign access permissions for DBS. This functionality reduces the need for administrators to manually create and configure user accounts, streamlining onboarding and ensuring consistency across platforms.

Important: 

  • User Onboarding is only available for Salesforce and Microsoft Dynamics.
  • You can only create one User Onboarding workflow per integration.
  • Users are created as soon as they log in to the iFrame for the first time.
  • If your company uses the Demandbase Authentication login method and users are provisioned through the iFrame, they must reset their password before logging in to the Demandbase web app.

Prerequisites

  • Users must have a Demandbase One for Sales license.
  • Integrate Demandbase with Salesforce or Microsoft Dynamics CRM.
  • You must have Admin privileges or be assigned to a permission set with the required Demandbase settings access.

Steps: Create New User Onboarding Workflow

  1. From the left navigation bar,  go to Settings_N.png Settings > User Management > User Onboarding.
  2. Click Create New.
  3. Complete the following fields:
    1. Name (For example, Salesforce Sales Users)
    2. Source (Salesforce or Microsoft Dynamics)
    3. Department
    4. Assigned View
    5. Permission Sets
      Tip: You can select multiple Permission Sets.
  4. Click Save.

Steps: Edit User Onboarding Workflow

  1. From the left navigation bar,  go to Settings_N.png Settings > User Management > User Onboarding.
  2. Click the name of an onboarding workflow.
  3. Hover over Permission Sets, Assigned View, or Department.
    Tip: You can’t edit the Name or Source.
  4. Click the pencil icon.
  5. Select the desired options and click the checkmark icon.

Steps: Delete User Onboarding Workflow

  1. From the left navigation bar,  go to Settings_N.png Settings > User Management > User Onboarding.
  2. Hover over an onboarding workflow and click the gear icon.
  3. Click Delete.
  4. In the confirmation pop-up, click Save.
