Understanding CRM Activity Logging

Demandbase can log email communication history, calendar events, and Take Action jobs to your CRM Leads and Contacts. These activities are logged in your CRM as Tasks

You can also assign Engagement Points to these Tasks within Demandbase. This allows email, meeting, and action activities to contribute to account engagement scores alongside your other sales and marketing activities.

Demandbase can log the following activities:

Platform Activities

  • Calendar Events
  • Add Contacts from Calendar Events to Salesforce: Attendees who do not already exist in Salesforce are created as new Contacts if they can be matched to an existing Salesforce Account.
  • Inbound Email
  • Outbound Email
  • Email Body

Take Action Jobs

  • Add to CRM Campaign
  • Add to Marketo Campaign
  • Add to Outreach Sequence
  • Add to Salesloft Cadence

Calendar Event Logging

Demandbase only logs external meetings.

To determine whether a meeting is external, Demandbase:

  • Identifies the organizer's email domain.
  • Identifies the most common internal domain in your instance.
  • Excludes attendees with those domains.
  • If any attendees remain with different domains, the meeting is considered external.

How Demandbase Selects Records

When logging a meeting, Demandbase:

  1. Reviews all meeting attendees in attendee order.
  2. Selects the first matching Salesforce Contact.
  3. If no Contact exists, selects the first matching Salesforce Lead.
  4. If no attendee exists in Salesforce, the meeting is not logged.

Calendar Event Logged Field Values

  • Name/Who: Name of Lead or Contact.
  • What/Related To: Associated Account (for Contacts). Leads are not supported.
  • Subject: [Demandbase] [Meeting]: Meeting Name
  • Description Field: Meeting description from the calendar invite.
  • Activity Date/Due Date: Date meeting started.
  • Status: First Closed value in Activity Status pick list.
  • Duration: Length of meeting (only supported for Gmail).
  • Owner Id: Demandbase user whose calendar was synced.
  • Task Type: Meeting

Email Logging

Demandbase can log:

  • Outbound emails (sent from your inbox)
  • Inbound emails (received in your inbox)
  • Email body content

When Emails Are Logged

Demandbase logs emails only when all of the following conditions are met:

  • The email is not locked by:
    • The automatic lock list, or
    • A manually locked thread.
  • The email can be matched to an account.
  • At least one participant belongs to a target account.

Important: 

  • Emails that cannot be matched to an account, including internal-only emails, are never logged.
  • Automatic replies and out-of-office messages are never logged.

Determining Inbound vs. Outbound

Demandbase examines the From address:

  • If the sender matches a Demandbase user's email or your organization's domain, the email is considered Outbound.
  • Otherwise, it is considered Inbound.

Inbound Email Logged Field Values

  • Subject: [Demandbase] [Inbound Email]: Email Subject
  • Description: Email metadata and body (if Email Body Logging is enabled).
  • Status: First Closed value in the Activity Status pick list.
  • Owner: First Demandbase user found in To, then CC, then BCC. If no Demandbase user is a recipient, the Account Owner.
  • Name/Who: Sender of the email. The sender must exist in Salesforce for the activity to be logged.
  • Related To: Associated Account (for Contacts).
  • Activity Date: Date email received.

Outbound Email Logged Field Values

  • Subject: [Demandbase] [Outbound Email]: Email Subject Line
  • Description: Email metadata and body (if Email Body Logging is enabled).
  • Status: First Closed value in the Activity Status pick list.
  • Owner: Demandbase user who sent the email. If the sender is not a Demandbase user, the Account Owner.
  • Name/Who: First lead or contact found in To, then CC, then BCC.
  • Related To: Associated Account (for Contacts).
  • Activity Date: Date email sent.

CRM Campaign Logged Field Values

  • Type: [CRM] Campaign
  • Subject: [CRM Campaign]: Name of Lead or Contact.
  • Description: Campaign Name.
  • Owner: User who initiated the Action.
  • Name/Who: Impacted Lead or Contact.
  • Related To: Associated Account (for Contacts).

Marketo Campaign Logged Field Values

  • Type: Marketo Campaign
  • Subject: [Marketo Campaign]: Name of Lead or Contact.
  • Description: Campaign Name.
  • Owner: User who initiated the Action.
  • Name/Who: Impacted Lead or Contact.
  • Related To: Associated Account (for Contacts).

HubSpot Workflow Logged Field Values

  • Type: HubSpot Workflow
  • Subject: [HubSpot Workflow]: Name of Lead or Contact.
  • Description: Workflow Name.
  • Owner: User who initiated the Action.
  • Name/Who: Impacted Lead or Contact.
  • Related To: Associated Account (for Contacts).

Outreach Sequence Logged Field Values

  • Type: Outreach
  • Subject: [Outreach]: Sequence Name
  • Description: Assignee.
  • Owner: User who initiated the Action.
  • Name/Who: Impacted Lead or Contact.
  • Related To: Associated Account (for Contacts).

Salesloft Cadence Logged Field Values

  • Type: Salesloft
  • Subject: [Salesloft]: Cadence Name
  • Description: Cadence Name
  • Owner: User who initiated the Action.
  • Name/Who: Impacted Lead or Contact.
  • Related To: Associated Account (for Contacts).

Prerequisites

You must have Admin privileges or be assigned to a permission set with the required Demandbase settings access.

Access Activity Logging

From the left navigation bar, go to Settings_N.png Settings > Platform > Activity Logging.
