How to Extract Salesforce Reports for Conversion

Salesforce Extracts for Conversion

The Salesforce extracts provide the data required for the initial set up of the Demandbase Conversion product.  Data from the following reports are ingested:

  • Contacts and Accounts report,
  • Users report, and
  • Account Teams report - only applicable if Account Teams are set up to designate account ownership.

Demandbase uses the data contained in the files to understand who owns what accounts at your company, and therefore helps determine who will potentially receive the Conversion Insights.  Demandbase also uses the data to match domains (websites) from your account domains in your Salesforce instance to the company domains in Demandbase’s database.

These files are only used during the initial set up and implementation of Conversion.  After you’ve completed the implementation and if you’ve enabled the integration between Demandbase and your Salesforce instance, these reports will be automatically updated weekly. Refer to the Salesforce Integration Overview for information on how to connect your Salesforce account with Demandbase.

Step 1: Create and Export the Contacts and Accounts Report 

1.1 Create New Report in Salesforce, and Select Report Type: “Accounts & Contacts” > “Contacts & Accounts”

1.2. If needed, drag and drop any additional fields in the report to include the following fields

  • Account ID
  • Contact ID
  • Account Name (of Account)
  • Website (of Account)
  • Company Domain (of Account)
  • Email Domain (of Contact)
  • First Name (of Contact)
  • Last Name (of Contact)
  • Title (of Contact)
  • Account Owner
  • City (of Account)
  • State (of Account)
  • Zip (of Account)
  • Country (of Account) 

NOTE:  By default, the Account Owner will receive the insights.  If you want other users (e.g., SDR, CSM, etc.) to receive the insights, then include those fields in the Contacts and Accounts CSV file. 

1.3. Set the filter to Show “All accounts” and Create Date Range to be “All Time." Add Filter Logic to only include records where the Company Domain (of Account) is not blank, or the Website (of Account) is not blank, or the Email Domain (of Contact) is not blank.

1.4. Save with the Report Name = “Demandbase Conversion-Contacts & Accounts”

1.5. Run the report and export the report as a CSV formatted file. 

1.6. Upload the CSV to Demandbase’s Box Account. Your Demandbase Implementation Project Manager will provide a secure Box folder for you to upload the CSV files.  Email your Demandbase Implementation Project Manager the URL of the saved report.

Step 2: Create and Export the Account Teams Report

The Account Teams Report is only needed if you define account ownership using Account Teams in Salesforce.  If you do not use Account Teams, then skip to "Step 3: Create and Export the Users Report."

2.1 Create New Report in Salesforce, and Select Report Type: “Accounts & Contacts” > “Accounts with Account Teams”

2.2. If needed, drag and drop any additional fields in the report to include the following fields:

  • Account ID
  • Account Name
  • Name
  • Team Role
  • Website
  • Company Domain

2.3 Set the filter to Show “All accounts” and Create Date Range to be “All Time.” Add Filter Logic to only include records where the Company Domain is not blank or the Website is not blank.

2.4 Save with the Report Name = “Demandbase Conversion-Account Teams”

2.5 Run the report and export the report as a CSV formatted file.

2.6 Upload the CSV to Demandbase’s Box Account. Your Demandbase Implementation Project Manager will provide a secure Box folder for you to upload the CSV files.  Email your Demandbase Implementation Project Manager the URL of the saved report.

Step 3: Create and Export the Users Report

3.1 Create New Report in Salesforce, and Select Report Type: “Administrative Reports” > “Users”

3.2 If needed, drag and drop any additional fields in the report to include the following fields:

  • First Name
  • Last Name
  • Profile
  • Email
  • Alias

3.3 Set the View to “Active Users” and Last Log in to be “All Time.”

3.4 Save with the Report Name = “Demandbase Conversion-Users”

3.5 Run the report and export the report as a CSV formatted file. 

3.6 Upload the CSV to Demandbase’s Box Account. Your Demandbase Implementation Project Manager will provide a secure Box folder for you to upload the CSV files.  Email your Demandbase Implementation Project Manager the URL of the saved report.
